Open Settings → Reservations → Terms and Conditions to set the terms customers accept at checkout and see on their bookings. The page applies to your whole company. Publishing changes the terms that new bookings use, so review the text with whoever owns your legal wording first.
Write your terms
- Under Source, choose Written here. This is the default.
- Write your terms in the editor. The toolbar offers headings, bold, italic, links, bulleted and numbered lists, block quotes, and a horizontal line. A link address must start with
http://orhttps://. - Select Save draft to keep your work without changing what customers see. Once a version is live, the status confirms which version customers still see.
Discard deletes the saved draft and any unsaved changes, and returns the editor to the live version. It does not ask for confirmation.
Until you publish a version, customers are told that your terms are not published yet. This also applies if you previously added a terms link in Company Setup but have not switched Source to External link.
Publish and manage versions
- Review the text, then select Publish as Live. It becomes the next version number, and new bookings use it from then on.
- Check Versions. It lists an unpublished draft and every published version with its date and who published it. The newest published version is marked Live.
- Select a version to preview it. Published versions cannot be edited. To reuse one, select Restore as draft: it copies that version into a new draft, or replaces your current draft after you confirm.
Customers keep the version they accepted. Publishing a new version does not change the terms on existing bookings.
Use an external page instead
- Under Source, choose External link.
- In Terms link, select the edit icon, enter the full address of your terms page, and select the tick to save.
- Open the link to check that it works for customers.
While External link is selected, the editor and Versions are hidden but not deleted; choosing Written here shows them again. The readback script can only mention a link, so agents offer to email it. Terms link is the same value as the Terms and Conditions link in Company Setup → Branding.
Where customers see your terms
Shown in lists the places your terms appear:
- Customer checkout: customers accept them with a checkbox before paying. The Terms and Conditions link opens your written terms or your external page.
- Customer portal: shown in the Terms drawer.
- Confirmation email: shown below the booking details.
- Readback dialog: shown under the script, with the version number and date and Show terms. Agents see this when your company uses booking readback; see Create quotes and reservations.
Cancellation policies appear alongside your terms but are managed separately in Studio; see cancellation policies.
Company Setup’s Legal row
In Settings → Company Setup → Branding, the Legal column has a Terms and Conditions row, formerly Terms of Service.
- With Written here, the row shows “Not in use: customers see the terms written in Settings.” and an Open editor link to this page.
- With External link, the row shows your link and a Change link to this page.
Editing the link in either place updates the same value. For other branding fields, see company setup. For the full list of settings pages, see Backoffice settings.
