Review and manage invoices

Confirm invoice scope, amounts, and payment history against the originating operational records.

Open Billing → Accounts Receivable → Invoices and select the intended invoice.

Find the invoice

Filter the list by status: Draft, Open (issued), Partially Paid, Past Due, Paid, or Void. You can select more than one. Past Due keeps open and partially paid invoices that still have a balance after their due date; an invoice due today becomes past due tomorrow.

The PAST DUE column shows how many days each invoice is overdue. Select its header to sort the most overdue first. Search number, customer… finds an invoice by number or customer name.

Review checklist

  • Customer or account and billing period.
  • Included reservations or billable items.
  • Subtotal, additions, taxes, credits, and total.
  • Current payment or balance information.
  • Whether the invoice state matches the company’s approved workflow.

New Invoice uses the company currency, and only trips in that currency are offered. An existing invoice’s total, paid amount, and balance use its own currency.

For a card refund, the Card Payments report’s transaction detail shows the original charge in Transaction lifecycle when it is available. Use that link between charge and refund when reconciling the invoice’s payment history.

Before making a financial adjustment, identify whether the error belongs to the invoice, a payment, or the underlying reservation. Keep support screenshots free of full card data and other unnecessary personal information.

Take payment and follow up

The invoice’s footer offers Receive Payment for a check, ACH, wire, or cash payment, and Charge card for a card saved on the customer. Receive Payment can spread one payment across the customer’s other open documents too; see Receive payments and apply credit.

The Collection activity card lists the calls, emails, texts, notes, and promises to pay logged against the invoice. Select Log activity to add one; the invoice is already linked. See Work past-due accounts in Collections.

Check the PDF

Once an invoice is issued, its PDF adds Paid and Balance Due under the total. When your company has set remit-to details in Settings → Business → Billing → Remit-to and payment instructions, the PDF also prints a Payment instructions block. Check those details before sending: they tell customers where to pay.

Select trips and correct a document

New Invoice lists finished trips first and initially selects off-platform trips only. Review the selection explicitly; the company’s Billable trip statuses and Billing period by settings still determine eligibility and date scope.

The company can assign invoice numbers At draft or At issue. An unnumbered draft displays Draft. Email on issue, payment terms, issued-line editing, date corrections, voiding paid documents and required void reasons follow Settings → Business → Billing.

When editing a trip line, keep its amount within the displayed transferable amount. An invalid amount blocks Save. Read a refused-save message before changing the value or retrying.
