Understand the Backoffice Billing workspace

Navigate accounts receivable, affiliate settlements, driver pay, and reports while preserving the distinction between each workflow.

Open Billing and choose the area that matches the financial responsibility.

  • General holds Overview and Reports.
  • Accounts Receivable holds Invoices, Pro Forma, Payments, and Collections: what customers owe you and what they have paid.
  • Accounts Payable → Affiliate Settlements (formerly Partner Payouts) covers amounts owed to affiliates.
  • Driver Pay contains settlements, balances, and payouts.

Documents and payments use US billing terms. Issued documents show Open, voided ones Void, canceled pro forma invoices Canceled, and overdue documents Past Due. Bank payments show as ACH / Wire.

For a single booking, open Settlement → Payables to review its driver or affiliate payable. This connects the booking’s operational context to the later settlement review; an affiliate’s driver shown there is not a separate payee.

Start from the Overview

Overview shows open receivables, open payables, cash collected this month, and driver balances owed. Use New Invoice to bill trips, or Receive Payment to record a check, ACH, wire, or cash payment.

Needs attention lists past-due customers with the amount past due, the oldest document’s age, and the last contact; a broken promise to pay is flagged. It also shows items such as failed card charges, settlements awaiting payout, and negative driver balances. When more customers are past due than fit, select View all in Collections.

Receive payments and track credit

Receive Payment applies one payment across a customer’s open invoices and pro forma invoices, oldest first. It opens from the Overview, a document’s footer, Collections, and Payments. A remainder becomes customer credit only when the company allows overpayment, and Apply credit uses that credit on open documents later. See Receive payments and apply credit.

Follow up on past-due customers

Collections lists every customer with a past-due invoice or pro forma invoice, with promises to pay and the last contact. From there you log calls and notes and send statements. See Work past-due accounts in Collections.

Read amounts in context

Check the currency on the document, transaction, or report as well as the amount. New invoices, pro forma invoices, and settlements start with the company currency. Where a Billing record has its own currency, that currency is used; the company currency supplies the fallback instead of an assumed dollar amount.

Customer receivables and affiliate payables remain separate. Receiving customer payment does not itself settle what is owed to an affiliate or driver.

Use the originating reservation and visible payment history as evidence. Do not correct a financial discrepancy by changing an unrelated platform setting or by entering an offsetting value without understanding the audit effect.

Check the company’s Billing rules

Administrators configure Settings → Business → Billing. The sections are:

  • Invoices and pro forma invoices
  • Payments
  • Collections
  • Affiliate settlements
  • Driver settlements and payouts
  • Customer statements
  • Remit-to and payment instructions

Each row saves separately; other rows stay disabled while a save is running. A Default tag marks a row that matches the platform default. Select Changed from default to show only the rows your company has changed, or use Search this page… to find a row.

These rules affect which trips qualify, billing-period dates, document issue and correction actions, how payments and credit apply, statements, payout methods, advances and settlement checks. An unavailable action may follow company settings or the record’s current state. Read the displayed explanation and review the relevant rule before retrying; changing a setting does not repair an incorrect booking.
