Backoffice, Studio, and the Driver App share one OpenLimo sign-in. There are no passwords and no separate two-factor step. You sign in with a passkey, with Google or Microsoft where your company uses them, or with a 6-digit code we email you. Passengers sign in differently; see the last section.
- Open Backoffice or Studio. The page reads Sign in to your account.
- Enter your Email and select Continue. If this device has your passkey, OpenLimo asks for it. Otherwise we email you a 6-digit code.
- On Enter the code we emailed you, type the code and select Verify. The code expires in 10 minutes.
- If you belong to several organizations, choose one on Choose Workspace.
You can also select Sign in with a passkey, or choose Google or Microsoft under or continue with where they are shown. Other ways to sign in offers Email me a sign-in code and Use a temporary access pass.
A sign-in is remembered on that browser or device for up to 30 days. There is no Remember me option, and staying active doesn’t extend the 30 days. Signing out, a revoked session, a change to your organization’s sign-in policy, or your organization’s session settings can end it sooner. Trusted devices, recovery codes, and password resets are gone.
In the Driver App, drivers enter their email, then use a passkey (Face ID, fingerprint, or device PIN) or the emailed code. The Driver App doesn’t offer Google or Microsoft. See Get the Driver App ready for the first trip.
To change organization later, open My Profile → Organizations → Switch organizations. The list shows only organizations that use OpenLimo.
Set up or remove a passkey
A passkey signs you in with your fingerprint, face, or device PIN, so there is no code to type.
- After you sign in: if you don’t have a passkey yet, you may see Add a passkey for faster sign-in. Choose Add a passkey, Not now, or Don’t ask again.
- At any time: in Backoffice, open My Profile → Security → Sign-in methods → Manage. In Studio, open Account Settings → Security → Sign-in methods → Manage. Both open your OpenLimo account page, Account & Security.
On that page:
- Under Passkeys, select Add a passkey, follow your device’s prompt, then name the passkey.
- To rename or remove a passkey, open its menu and choose Rename or Remove. A removed passkey stops working right away on every device it’s saved to.
- Select the Back to link at the top to return to the app you came from.
You can’t remove the passkey you’re signed in with. If your organization allows only a passkey or single sign-on, you also can’t remove your last passkey until you add another passkey or link a Google or Microsoft account. Sign-in methods lists any linked Google or Microsoft accounts. To link one, choose Google or Microsoft on the sign-in page using the same email address. If the provider can’t confirm that address, OpenLimo may email you a code to confirm the link.
Your organization’s sign-in policy
Each organization has a sign-in policy for its staff and drivers:
- Any method (the default): people choose a passkey, single sign-on, or an emailed code.
- Passkey or single sign-on required: people without a passkey can start with an emailed code, but Set up a passkey then asks them to create one, or to use single sign-on where it’s offered, before they get in. Once they have a passkey, a code sign-in is refused and the page returns them to their passkey.
- Passkey or single sign-on only: no code is emailed. A lost passkey needs a temporary access pass.
Organizations that previously required two-factor authentication now require a passkey or single sign-on. You can’t change the policy in Backoffice. To change it, contact OpenLimo Support.
If you can’t sign in
- The code didn’t arrive: check the email address you entered and your junk folder. Select Didn’t get a code? Try another way, then Email me a sign-in code. If your organization allows only a passkey or single sign-on, no code is sent; use your passkey or single sign-on instead.
- Too Many Attempts: you can request up to three codes in 15 minutes. Wait up to 15 minutes, then request a new code.
- The code is wrong or expired: each code allows three tries and lasts 10 minutes. After the third wrong code, the page says to request a new one. Invalid or expired code also means you need a new code.
- Your passkey isn’t available: use another device that has it, sign in with Google or Microsoft, or select Other ways to sign in → Email me a sign-in code if your policy allows codes.
- You lost your passkey and your organization requires one: select Other ways to sign in → Use a temporary access pass and enter the pass. Each pass works once and expires. OpenLimo Support issues these passes, so ask your administrator to contact OpenLimo Support, or contact Support yourself. After you sign in, create a new passkey.
If you sign in but can’t find your organization or an area, ask your administrator to check your role and membership in Settings → Team & Permissions.
Invite someone or resend sign-in instructions
Invite staff from Settings → Team & Permissions → New User. Driver invitations start from Fleet → Drivers → Add Driver.
The invitation opens Set Up Your Sign-In. The person enters their Full Name, then chooses one of the following:
- Create a passkey (recommended).
- Continue without a passkey — you’ll sign in with a code we email you.
Either way, they land in the app already signed in. Organizations that allow only a passkey or single sign-on offer only Create a passkey. If that device can’t create one, the page says to ask an administrator for a temporary access pass. Someone who already has an OpenLimo account sees Join Organization instead.
Send sign-in instructions replaces the old password and MFA resets. Confirm the person and email address before sending. It appears in three places:
- Settings → Team & Permissions → a user → Security & Sign-in
- Fleet → Drivers → a driver → Privacy
- CRM → Individuals → a person → Login email
Staff and drivers receive How to sign in to OpenLimo. It says to sign in with their email and an emailed code, then set up a passkey, and it has no reset link. Customers receive your company’s welcome email, which says to sign in with their email and a code.
Review where you’re signed in
In Backoffice, My Profile → Security → Active sessions shows how many sessions you have. Select Review to see each browser and device. Use Revoke to end one session, or Revoke all others to end every session except this one. Sign out other sessions in the More actions menu does the same.
On your OpenLimo account page, Where you’re signed in lists your sessions. Each one other than this session has Sign out. Sign out everywhere else signs out every other browser and app session, and those devices must sign in again.
When your account signs in from a browser or device it hasn’t seen before, OpenLimo emails you New sign-in to your OpenLimo account. The email shows the browser, operating system, and time, and you get at most one a day for each browser. If the sign-in was you, there is nothing to do. If it wasn’t, select Review your sign-ins, sign in, and use Sign out everywhere else. A private window or a browser that clears its cookies counts as new each time.
Passengers sign in with a code
Passengers using the booking widget, customer portal, or customer app enter their email and the 6-digit code we send. There is no password, passkey, or Google or Microsoft option. Signing in with a new email address creates the customer’s account once the first code is verified.
- Welcome emails tell customers to sign in with their email and a code.
- Old set-password links now say the link is no longer valid.
- When a customer’s account signs in on a new device, they get an email in your company’s name that points them to your support address.
To resend a customer’s sign-in email, use Send sign-in instructions in their Login email.
