Set up one driver’s phone and check it with Back Office before repeating these steps for the team. iPhone and Android use the same workflow. Where screens or labels differ, this guide says so.
Before you begin
The operator should have:
- An active driver record linked to the correct sign-in email and tenant.
- An active vehicle with the correct type, plate, and capacity.
- The intended driver permissions, including any pricing or dispatch access.
- The company’s approved app installation instructions.
- A dispatcher available to check a test booking.
A customer Account or Individual record does not provide driver access.
1. Sign in and check the profile
- Open OpenLimo Driver and tap Sign in on iPhone or Sign In on Android.
- On the OpenLimo sign-in page, enter your email. Then use your passkey (Face ID, fingerprint, or device PIN), or enter the 6-digit code emailed to you.
- Open Profile. Confirm the name and company, and review Needs Attention and Credentials.
- If the identity or company is wrong, sign out and contact the administrator.
There is no password, and the Driver App doesn’t offer Google, Apple, or Microsoft sign-in. If your company requires a passkey, you’re asked to create one after your first code sign-in. If you lose your passkey and your company requires one, ask your administrator about a temporary access pass. For codes, passkeys, and sign-in policies, see Sign in with a passkey, single sign-on, or an emailed code.
For Driver Access Unavailable, ask the administrator to check the active driver profile and sign-in identity in the correct tenant. Use Retry after correction, or sign in again.
Find your way around
The header shows your company name and Mode. In Driver mode, the navigation bar has Today, Trips, your availability status in the middle, Insights, and Profile. If your role also has company tools, tap Mode and choose Admin. See Driver and Admin workspaces.
If the operator also drives
An account with admin access but no active driver profile opens in Admin, and Mode shows only Admin.
To drive, a company administrator opens Admin → Fleet → Drivers. On iPhone, choose Add Myself. On Android, tap the add button, then Add Myself in Add Driver. Save the details with the same sign-in email. Driving tools require an active profile. On Android, use Start Driving in Business to recheck it when offered.
2. Allow notifications and location
Notifications announce assignments and changes. Location lets dispatch and assigned passengers follow progress.
| Phone | What to do |
|---|---|
| iPhone | Allow notifications and location while using the app. Allow Always location access when iOS offers the upgrade for background tracking. |
| Android | Allow notifications. Read Location access, tap Continue, and allow location. Follow Allow location “all the time” for background tracking. Follow the battery prompt under Keep OpenLimo Driver running on shift to maintain tracking while idle. |
If declined, review permissions in the phone’s settings for OpenLimo Driver, then return to the app. Android wording varies by phone.
On iPhone, if you’re online and location is set to While Using the App, Today shows Background Location Is Limited. Tap Open Settings and choose Always; otherwise dispatch may only see your last shared position.
Permission alone does not start work. Control availability from the status item in the navigation bar. Location sharing continues while you are online and available, including in the background or with the screen locked. It stops when you go offline or take a break. On Android, the ongoing tracking notification identifies background location use.
Today shows whether location sharing is connected. On Android it reads Live, Connecting…, Reconnecting…, or Reconnect. On iPhone, a live indicator turns into Reconnect when sharing stops. Tap Reconnect to try again. If dispatch still stops receiving updates, check your connection and permissions, then compare the latest location timestamp with the office.
3. Choose the vehicle
- Open Today.
- If there is no assignment, iPhone shows Choose a Vehicle and Android shows Vehicle Assignment Required.
- Check the vehicle’s make/model and plate, select it, and tap Assign Selected Vehicle.
- Confirm the vehicle in Profile: My vehicle on iPhone, Vehicle on Android.
For No Vehicles Available, ask dispatch to check availability and assignments. Authorized users can use Add a New Vehicle.
Assign a vehicle before starting a shift or ride. Trips, Insights, and Profile remain accessible without one. To switch later, finish any ride in progress, then open Profile → My vehicle on iPhone. On Android, use Change vehicle in the availability sheet or Profile → Vehicle. Your upcoming rides move to the new vehicle.
4. Become available for work
Your status sits in the middle of the navigation bar: Online, Offline, Off shift, On shift, or On break. Tap it to open your availability controls.
- Tap the status item.
- Tap Go online, or Clock in if your company uses timecards, and confirm.
- Ask dispatch to verify availability and location in Back Office.
- During a shift, use Start break and End break. On iPhone, you can add a Break note (optional) when starting a break.
- Finish work with Go offline or Clock out.
The sheet also links to Timecards when your company uses them. Android always shows Upcoming trips, Driving Insights, and Change vehicle; iPhone shows Upcoming trips and Driving Insights when your company doesn’t use timecards.
During a ride, Go offline becomes available when the ride is complete. With timecards, you can still clock out: the app finishes the clock out after the ride. On iPhone, confirm Clock out after this ride? with Queue clock out. On Android, confirm Clock out. Use Cancel queued clock out to keep working.
If you start a ride while offline or off shift, the app offers to make you available first: Go Online & Begin Ride? on both phones, Clock In & Begin Ride? or End Break & Begin Ride? on iPhone, and Start Shift & Begin Ride? on Android.
5. Check Today
On iPhone, Today shows, from the top:
- The date and the location-sharing indicator.
- Background Location Is Limited, when it applies.
- Needs Attention, for users with dispatch access.
- Your day, with your next pickup or, during a ride, the CURRENT TRIP card.
- Later today, with View all to open Trips.
On Android, Today shows the connection status, Needs Attention for dispatch users, Active Rides while you’re online or on a ride, and Your day.
New booking sits above the navigation bar when you can create bookings. It’s hidden during a ride. For the active ride card, see Driver and Admin workspaces.
If dispatch ends your shift
If dispatch ends your shift, or the system closes it automatically, the app goes off duty right away and tells you why.
- Timecard shifts, both phones: Shift Ended Remotely offers Review Timecard. After a shift hits the 24-hour limit, Correct Your Timecard offers Correct Timecard so you can set your real clock-out time. Acknowledge dismisses either message. The change affects your recorded hours and pay.
- Online availability: iPhone briefly shows “Your shift was ended by dispatch.” or “Your shift was closed automatically.” Android shows You’re Offline with “Dispatch ended your duty session.”
Contact dispatch before going online or clocking in again if you weren’t expecting the change.
Trip actions for the final booking check
Once phone setup is complete, continue to Your first booking. Use the actions below during that final check. Agree on a test booking with the operator and check passenger details, pickup time, addresses, service, vehicle, and price in Back Office. Test bookings can trigger customer communications and payments.
- Ask dispatch to assign it to this driver and vehicle.
- Check the alert and booking details. Use Today for current work and Trips for the schedule.
- Open the ride. As each test stage occurs, take the action below and confirm its status with dispatch.
| When | Driver action in ride details | Expected status |
|---|---|---|
| The driver accepts the assignment | Accept Booking on iPhone; Accept Ride on Android | Driver Accepted |
| Leaving for the pickup | Start Ride | En Route |
| At the pickup | Arrive at Pickup | On Scene |
| The passenger is aboard | Pickup Passenger | Passenger On Board |
| The journey is finished | Complete Ride | Completed |
Actions depend on assignment, status, and permissions. Start Ride may appear nearer departure time. Read timing or location warnings before continuing.
Review any settlement step with the operator before charging. Trip completion and payment settlement are separate checks; confirm both in Back Office.
Trips with intermediate stops
Check the full stop order in ride details. Navigation follows the next unserved stop, including on a return route that revisits an earlier location. At each intermediate stop, use the offered arrival action and wait for confirmation. Continue through the remaining stops before Complete Ride at the final destination.
If arrival was recorded automatically, the stop shows its recorded arrival. Refresh before repeating an action when the result is unclear, and compare the stop progress with dispatch.
A card is declined or a payment result is unclear
Read the payment message before collecting again. Authorized users can select a different saved card or send the customer an email request for updated card details. A request for a card does not collect payment; refresh after the customer has saved it and review the payment source and outstanding balance.
If the result of collection is uncertain, use the offered payment-status refresh and check the ledger with the office. Do not treat a lost connection as a declined charge. Keep the booking reference and error message when contacting support.
If something does not work
| Problem | Check first |
|---|---|
| Can’t sign in | The sign-in email, the emailed code, and your company’s passkey requirement. |
| Driving tools are missing | Correct tenant, active driver profile, and matching sign-in identity. |
| Vehicle unavailable | Active status, assignment, and any ride in progress. |
| Trip missing | Assigned driver, company, pickup date, Trips, and phone connection. |
| No alert | Notification permissions and settings; check the trip list directly. |
| Tracking stops with the screen locked | Background location (Always on iPhone), online/break status, and Android battery restrictions. |
| Admin tools missing | The user’s role. Without company tools, Mode shows only Driver. |
| Action fails | Refresh and compare with Back Office before retrying. Give dispatch the booking reference and error. |
Ready to continue
Proceed when the correct driver and vehicle appear and dispatch receives availability and location. The next step checks booking delivery and trip progress in both products. Complete that check for each driver before their first live assignment.
