Assign resources and manage trip status

Match the intended driver and vehicle to a reservation, then advance status only when the real operation supports it.

Open the reservation from Dispatch and confirm you are working on the correct trip.

Assignment check

  1. Review date, time, route, and requested vehicle or service type.
  2. Select the intended driver and vehicle from the available resources.
  3. Re-read the assignment before saving.
  4. Confirm the board reflects the new assignment.

Trip status should represent what has actually happened. Do not advance status only to remove an alert or make the board look complete. If the expected driver or vehicle is missing, review fleet readiness and active state before creating a duplicate resource.

Assign from the Assign driver tab

Select the booking on the board to open its sidebar. The tabs are Assign driver, Nearby drivers, Affiliates, Details, and History; Affiliates appears only when the booking can be farmed out or already has a farm-out.

  1. Open Assign driver. Each candidate shows a status and a colored vehicle-type tag. The status refreshes about every 30 seconds:
    • Online: on duty, connected, and reporting a recent position.
    • Idle (N min): on duty and connected, but the last position is N minutes old, for example while parked.
    • Busy, free ~HH:MM: on a trip or a break, with the expected free time when one can be estimated.
    • Offline: the Driver App is not connected or the driver is off duty.
  2. Narrow the list with Search drivers…, Vehicle type, and Group. Vehicle type starts at All vehicle types and also offers No vehicle assigned.
  3. Compare each candidate with Booked vehicle type: {name} above the list. A candidate whose vehicle type differs shows that type in a neutral pill; assigning may ask for confirmation, depending on your assignment rules.
  4. Select Assign and confirm the driver.

Assign from Nearby drivers

Nearby drivers ranks the closest drivers to the pickup, up to five at a time, with ETA and distance.

  1. Choose a pool: Own drivers, Tier-1 affiliates, or All affiliates. Each pool shows its count; an empty pool is disabled with No drivers in this pool.
  2. Review each row: rank, status, vehicle-type tag, rating, hours on shift, how old the position is (for example, “position 4 min ago”), and ETA and distance. Your own drivers show their names. Other companies show only the operator name; All affiliates also shows each affiliate’s tier.
  3. Check Updated HH:mm:ss. The list refreshes about every 30 seconds.
  4. Select Assign. On your own driver, this runs the normal assignment. On an affiliate row, it opens Farm Out Booking for that affiliate; review the price before selecting Farm Out. See Farm out work to affiliates.

If Assign is unavailable, hover over it to read the reason, such as an affiliate that isn’t offered for farm-out on this booking.

Respond to an assignment warning or block

When an assignment rule is set to Warn, Confirm Driver Assignment lists the reason; select Confirm to assign anyway or close the dialog to choose another driver. When a rule is set to Block, Driver Not Assigned lists the reason and the driver stays unassigned.

Review assignment rules

Administrators configure assignment rules under Settings → Dispatch → Operations → Assignment rules. Five rules each display Allow, Warn, or Block:

Rule Situation covered
Assign without vehicle The driver has no assigned vehicle.
Fallback vehicle type The driver’s vehicle type is on the booked type’s fallback list.
Outside the fallback list The driver’s vehicle type is neither the booked type nor one of its fallbacks.
Override service type The driver’s service type differs from the requested one.
Override capacity limit The passenger count exceeds the vehicle’s capacity.

The two vehicle-type rules replace the former Different vehicle type switch and start at Allow. Each vehicle type’s fallback list is kept on its Fallbacks tab in Fleet; see Prepare fleet resources for operations.

Review the rule that applies to the proposed assignment. If an assignment produces a warning or rejection, investigate the driver, vehicle type, requested service and passenger capacity before proceeding. Do not change an organization-wide rule merely to clear one trip. See Configure operational settings for the settings workflow.

Check an affiliate assignment

A farmed-out reservation can show the affiliate’s Chauffeur & vehicle details, including whether the chauffeur has accepted and the latest relayed status. An offer still awaiting a response or a message that no chauffeur is assigned needs follow-up with the affiliate; it is not a local resource assignment.

Use the booking’s References when coordinating the trip. If a farmed-in trip is sent onward, the affiliate section identifies the originating partner with Sent by and shows the executing partner’s details. Keep the partner’s offer, chauffeur acceptance, trip status, and payment status distinct when deciding the next action.

Accept or reject a pending booking

Company settings can hold new bookings in Pending according to their source channel. Review the request before accepting it. When rejecting a pending farm-in, the Reject Booking dialog offers optional Reason and Note fields. Rejection cancels the booking; confirm the reference and operational decision before selecting Confirm.
